This notice explains what personal information Club Night uses, why it is needed, who it may be shared with, and the choices and rights available to you.

Who we are
Club Night is operated by MJ Software Consultancy Ltd (company number 15094286), trading as Moo Digital Solutions, based in South Wales, UK. For account, support and technical operation data, Moo Digital Solutions is the data controller.
Your tennis club decides which player, session, squad and competition records are entered and how they are used. Your club may therefore also be a controller for those records. Contact your club manager first if your question concerns club-managed information.
Information we use
- Account information: username, email address, password hash, club membership, access role and any linked player.
- Club and player information: club name and logo; player name, gender, skill information, profile picture, squad membership, playing partner and captaincy.
- Tennis activity: attendance, courts, rounds, pairings, player comparisons, tournaments, match results and result audit history.
- Support information: the message you send, your username, email, club, current page and submission time.
- Technical information: security and diagnostic logs which may include IP address, browser or device details, requested page, timestamps and error details.
Information is provided by you, your club managers, organisers or administrators, and generated when the service creates draws and competition records.
How and why we use it
Providing the service and performing our contract: creating accounts, authenticating users, organising club sessions, producing pairings, maintaining competitions, and providing requested support.
Legitimate interests: operating a reliable club-management service, keeping it secure, preventing misuse, diagnosing faults, responding to enquiries and improving usability. We consider these uses necessary and proportionate to the service people reasonably expect.
Legal obligations: keeping or disclosing information where applicable law requires us to do so.
Your right to object: you may object at any time to processing based on legitimate interests. Contact us using the details above and explain the processing you are concerned about.
The service uses algorithms to suggest pairings and brackets. These support tennis administration and do not make solely automated decisions with legal or similarly significant effects.
Who receives information
- Authorised users in your club, according to their member, organiser, manager or administrator permissions.
- Hosting, database, storage and email providers used to operate the service.
- Sentry, which receives technical error and diagnostic information to help identify faults.
- jsDelivr, which supplies the Bootstrap Icons stylesheet and may receive ordinary request data such as IP address, browser type and referring domain.
- Professional advisers, regulators, law enforcement or another organisation where required by law or necessary to establish, exercise or defend legal claims.
Some suppliers may process information outside the UK. Where this happens, we require a lawful transfer mechanism, such as UK adequacy regulations or approved contractual safeguards. Contact us if you would like more information about safeguards relevant to your data.
We do not sell personal information or use it for third-party advertising.
Retention and security
Account and club records are retained while they are needed to provide the service. Session, squad and tournament records may be kept as club sporting history until the club or an administrator removes them. Support messages, technical logs and backups are kept only for as long as needed for support, security, recovery, legal requirements and the relevant supplier's retention cycle.
We use access controls, encrypted connections, password hashing and protected application keys. No online service can guarantee absolute security, so please use a unique password and tell us promptly if you suspect unauthorised access.
Your data protection rights
Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, portability, or object to how it is used. Where processing relies on consent, you may withdraw that consent without affecting earlier lawful processing. Some rights are limited by law and may depend on the lawful basis and whether records must be preserved for other people.

Cookies
Club Night currently uses only first-party cookies that are necessary for sign-in, security, status messages and remembering that you dismissed the cookie notice. These cookies do not track you for advertising or analytics. Essential cookies cannot be switched off through this site because the relevant features would not work.
